Quickly verify the linked status for Subscriptions
Stax Bill has been and will continue to add large and small feature additions, in order to improve the integration with Geotab and MyAdmin. Below are some of the smaller features that have been added recently.
In the main Subscriptions grid, there is a new Geotab Logo that will be shown on each subscription that is directly linked to a MyAdmin device.
Enhanced filtering in the Subscriptions grid
In the same area, you can now filter the Subscriptions Grid by Geotab Device Plan or for subscriptions, as above, that are Linked to a Geotab Device. In the left most Search dropdown, select either Linked to a Geotab Device or Geotab Device Plan. If you select the latter, you next select the Device Plan that was used to create the subscription.
Standing Order Creation Simplified
When you want to manually create a new Standing Order in Stax Bill, the process is now a single step. Remember that a Standing Order is basically just a template that the Geotab Create Subscription job will use. All you need do is:
- Tap the Add Subscription button from the Subscriptions section, under Customer Overview
- Select the Stax Bill Catalog Plan that you would like to use
- Select a billing Frequency
- Toggle the Set as Standing Order slider to On
- Select the Device Price Plan to use
- Optionally you may override the Name and Description.
- One you save the new Standing Order, it will open up in the standard Subscriptions view, where you can set the default Price.
- Note: A Device Plan can only be used in one Standing Order. Once one is used, it will no longer appear in the Device Price Plan dropdown, for new Standing Orders. This means that Stax Bill can only automate the creation of one billing frequency for each Device Price Plan.
Export Geotab Linked status
You can now export a customer list from the Customers grid that will include the Geotab Link ID. This allows you to filter the export, to easily show linked or not linked customers at any time. Look for the Geotab ID column in the Customer export.
Credit Note Summary
Users of both Stax Bill and Geotab often have large and complex invoices, due to the number of device subscriptions they may have. As such it is possible that there can be a number of reversals that get done on a given invoice. Each of these reversals will produce a Credit Note, which is associated to the invoice.
In the past, if an end customer wanted to see all the Credit Notes for a particular invoice, they would have to be provide with the PDF of each one, separately.
The improvement that has been made is that, when there are more than one Credit Notes associated to the invoice, you will now see a button labeled PDF in the invoice footer, in the Credit Note section. Tap this button and you will get the summary, that looks very much like a Stax Bill invoice. It will have the Credit Note number, reversal transaction date, a section for each Subscription, line item details that show the subscription products and the amounts product and tax reversals. This will help your end customers with their financial reconciliations.
Exporting Geotab Devices List from Stax Bill
Once you have linked a customer in Stax Bill to a Reseller Contact ID in MyAdmin, you will see the Geotab button in Customer Overview is Green, with label: Linked. If you tap this button, it will take you to the customer's integration page. On this page there is a View Device button that will pull all the MyAdmin devices that are associated to the Link ID, and display them in a table.
As of the product update that is planned for May 19, 2026, you will be able to export that table in CSV format, using the Export link button at the top right of the devices table. This may be helpful for extended analytics on the information that Stax Bill is getting back from MyAdmin.
