If you have processed a payment using a customer's Automated Clearing House (ACH) bank account information, it is possible that after a certain period - usually a few days - the payment could come back as "declined" from the bank because of "Non-Sufficient Funds" or NSF. However, in Stax Bill, we have already marked the payment as successful, assuming it was received by the ACH processor.
Most ACH payment processor gateways can provide you with reports or notifications if payments fail to clear the banks. You can use these reports to cross-reference with Stax Bill and then mark those payments as NSF within the Stax Bill platform.
To mark a payment as NSF:
- Go to the Customers tab and find the Customer whose payment you need to process.
- Under the Payments page, you will see a list of payments made for this Customer. Click the Details button on a successful Payment to bring up the Payment details screen.
- You will see a red NSF button next to the Refundable amount in the Payment activity screen. Click this button to mark the payment as NSF. You will receive a warning as follows. Please note this warning - once you have marked the payment as NSF, you cannot change it. You need to process a new payment to return the customer to good standing.
- Assuming you click Yes, you will receive a success message as follows:
Implications of an NSF Transaction
Stax Bill will automatically handle the various financial implications of the NSF transaction, for example:
- Any earned revenue will be reversed
- Ledgers are reversed as applicable
- An NSF payment cannot be refunded
