Stax Bill's QuickBooks Online integration ensures that all items are synced with both systems. However, sometimes, changes can cause issues with the syncing between the two systems.
Stax Bill's QuickBooks Online integration allows you to identify a problem and allows you to resync to minimize growing sync issues.
Overview Page
You can review the synchronization results for customers and their transactions on the main QuickBooks Online Overview page (Settings > Integrations > QuickBooks Online).
You can review the total entities in Stax Bill and Quick Books Online from the Overview page.
In addition, you can see any warning or warning that has been dismissed previously. Clicking Review Warnings opens the Entity screen with additional information about the warnings.
When troubleshooting, you should start with the order presented on the page. For example, if a customer has a warning, it is best to resolve it before proceeding to the next item on the list.
Note: Fixing some issues may trigger additional warnings as the system synchronizes. For example, if a customer has not been connected to QBO for a long period and is connected, any invoices will be added to the queue, which will present a warning that they have not been tried. This will resolve when the system refreshes every hour.
Troubleshooting Customers
You can review the customer warnings by clicking on the Customer Entity Review Messages. These will be disconnected customers who do not have a QBO ID.
You can ignore these warnings or connect the customer to QBO.
Click Connect Customer. If the customer already exists in QBO, you can select it, latch it to the existing customer, and search for the customer in QBO. Next, select the start time to synch financial data and click Connect.
Or you can create a new customer.
When you create a new customer, you can specify the timing of the financials to bring into QBO. Select an appropriate time and click Connect.
Once the customer is connected, any invoices will be added to the system and may appear as Not Tried warnings on the Overview page. If there are no other warnings/ issues, the errors will disappear once the system synchronizes. We recommend waiting until the system has completely synchronized.
Note: The last synchronization is displayed on the Overview page in the bottom right-hand corner.
Troubleshooting Invoice and other Entities
Once the system has synchronized with new customers, you can continue reviewing other warnings in the various entities. Start at the top of the list and move down to avoid additional issues. For example, correcting a payment warning before the associated invoice warning will cause additional warnings.
You can click the Reason on the Entities page to get more details.
Using this information sent from Quick Books Online, you can try to resolve the issue in Quick Books.
Once you have resolved the issue, you can then click Resend on the Entity page. This will force a system resync to verify the solution worked.
This method can be used for any remaining entities with errors.
