General Ledger (GL) Codes are commonly used by Accounting systems to track revenue against different product lines (e.g. Consumer vs. Business), product types (Physical Goods vs. Services), and so on. You can create and maintain a list of your Accounting department's GL codes in Stax Bill and then associate them with the items in your Product Catalog so that they can be easily reported on, filtered, sorted, and summarized in reports.
You can see a list of defined GL Codes under Catalog > GL Codes. Use this screen to build up your list of valid GL Codes from which you can select when you are adding Products to your catalog.
To create a new one, click Create GL Code. You can give each GL Code a user-friendly name as well as the Code that it represents. This Code must exactly match the code you use in your Accounting system in order to match up to your reporting.
Notes on GL Codes:
- You can delete a GL Code as long as there are no products associated with it. Once it's associated to at least one Product, it can no longer be deleted.
- If you no longer wish to make a specific GL Code available for new products, you can Retire it. The Code, however, cannot be reused.
- Each GL Code must be unique, though different codes can share the same friendly name.
