Stax Bill allows you to customize the look and feel of the invoices that are generated and sent to your customers.
With Stax Bill’s powerful invoice editor you have complete control of every element and label in order to provide you with the greatest flexibility in communicating with your customers.
The Invoice editor can be found under Settings > Financial > Invoicing under your account.
Use this feature to:
- Fully customize your customer experience
- Introduce multi-language invoices
Invoices are generated for each customer account on its invoice day. Even if the customer is paying automatically via a credit card on file, the invoice will be generated as a record of charges.
Invoices are all initially generated in Draft status. While in the Draft status the invoiced amounts are not yet recorded in the financial ledgers. This allows you to review the invoice and make changes to the applied charges as necessary.
When finalized, the invoice is "Posted" to the accounting ledgers. Any further changes (like a charge reversal) will generate accounting records and auditable entries.
Most often, you'll want to automate the posting of invoices, and perhaps review only the invoices for key accounts.
To automate the posting of all invoices, use the global setting in the Settings tab.
To control the posting for a particular customer, Manage the Customer Billing Settings.

Controlling Invoice numbering
You can control the starting number that is used by the Stax Bill system to generate invoices sequentially. Use this setting to have the Stax Bill system start issuing invoice numbers starting from the number you specify. This feature allows you to match continue your invoice numbering convention if you were using a pre-existing billing system.
Setting Water Marks
You can use this section to activate Watermarks that are rendered on the PDF versions of your Draft and Projected invoices. This feature can be used to help communicate with your customers that these types of invoices are quotes or pending charge notices and are subject to change.
Visual Invoice Edits
Setting Invoice Titles
By default, the Stax Bill system will display a different title at the top of the pdf for Posted, Draft and Projected invoices. This setting allows you to over-ride the titles for words that are more appropriate for your business. Use this feature if you wish to call your invoices something like “Receipts, Quotes, Notices” for example.
Company Signature
The Invoice Editor allows you to customize your company's information that renders at the top of invoices. You can control this display via a standard Markdown editor. The signature setup screen supports your Account Branding settings as available merge points.
Envelope Style Invoices
Within the Invoice Signature box, you can also toggle your invoices between Standard and Envelope layout. The envelope layout can be set if your system prints invoices and mails them to customers via regular mail. When you select the Envelope layout you will see on the screen whether your Company signature fits cleanly within the mailing address boxes.
Customer Information
The customer information box allows you to control how you want to refer to your customers at the top of their invoices. You can control the default label and change “Customer” to read something else like “Member” or “User”
You can also control the default unique identifier that will be rendered on the invoice to identify the customer. If your system does not use unique identifiers then you can use the Stax Bill_ID

Use this section to control whether or not Shipping Address should appear on your invoices
Invoice Overview Labels
Use this section to control all of the fields that appear in the Invoice Overview. You can also control the label used for each field to better customize your invoices.
Invoice Content Controls
With the Stax Bill invoice editor, you can also control the labels that appear in the main content section of invoices where charges appear. Note that the individual charge item labels are controlled for each unique line item from the display labels of the product catalog. This section allows you to control the column header labels and manage the settings used to display tracked items on your invoices.
Invoice Note
You can also configure a default Note that will appear on all of your invoices. This section is ideal for communized information you wish to convey to all of your customers such as tax registration numbers or payment processing instructions.
Invoice Summary Labels
You can also control the naming convention of fields that appear in the Invoice summary. This section is also the area where you can control whether Discounts and taxes are rolled up at the bottom of your invoices.
