You can use a reference date on an invoice instead of the posted date option. This is useful if an invoice was not issued at the time of the service due to a clerical or billing error. In this case, you can use a reference date that is in the past for the invoice and not the posted date.
Note that the reference date does not affect the ledgers in Stax Bill but is only used for the customer invoice.
To use a reference date, complete the following:
- Navigate to Settings >Financials >Invoice.
- On the Invoice Template page, click Overview.
- On the Overview Section, deselect Posted Date and select Reference Date. Enter a name for the field.
- Click Apply.
Using the reference date on an invoice
- Create a subscription and activate without posting the invoice.
- Open the draft invoice and edit the reference date to add the date you want.
- Click Post Invoice or return to the draft invoice view.
The invoice will now display the reference date provided.
Note: Use the reference date option for the Draft Invoice bulk job. If you have multiple draft invoices that need a reference date, you can use the bulk job to input those dates. See Post Ready Draft Invoices
