The Account Receivable Aging page displays a customer's health in terms of their payment promptness. This key indicator for collection agents provides a centralized view of all invoices and the health of the accounts. The page allows for a quick view of the health of accounts and allows the clerk to take appropriate action if necessary based on the recorded notes.
Using the Accounts Receivable Feature
- From the Stax Bill side menu, click Invoices >Invoice Aging to view the Invoice Aging Overview page.
- From the Invoice Aging Overview page, select a date from the date picker and click Generate.
The table shows the invoice aging on a per-customer basis (i.e., each row represents a single customer and displays the balance, amount due and aged receivables.
Clicking the plus + icon next to the customer displays the customer invoices.
Note: Hovering over a customer lets you access the customer details page link.
The table can be sorted based on different criteria using the sort feature on the top right of the table.
The Due within Terms reflects the invoices which are not yet overdue.
The labelled columns (e.g. "31 to 60") show invoices outstanding for over 30 days but less than 61 days.
The Available Funds column shows the total funds not allocated to invoices (i.e., the sum of account balances).
Adjusting the Likelihood of Collection
The collections column indicates the likelihood of collecting on the balance. As a billing clerk, you can select to indicate the likelihood of collection based on criteria set by the organization. The billing clerk must manually set the collection likelihood by selecting an appropriate collection icon. The likelihood colour selected populates the widget. The changes made to the likelihood are immediate. However, there is no impact on the auto collection. The likelihood of Accounts Receivable Aging is for visual information only.
Account Receivable Notes
You can record and review the notes on the account by clicking the note icon. This can help determine the likelihood of collection and provide information on the next steps to be taken by the billing clerk.
You can create notes and adjust the likelihood of collection from the Customer Details page.
