Stax Bill provides a "Subscription Updater" feature which allows you to make changes to your existing subscriber base after making changes to your Catalog.
Note: If a subscription product has a price override, the price will stay overridden. This is for updating the underlying price of existing subscription products for subscriptions of a plan in the catalog. If the override is later removed, the underlying default price will return to the catalog amount.
You can modify plans to add products to existing customers to provide additional products upon request or if a plan has changed and you would like to add these changes to existing customers going forward.
Prerequisite
Add additional products, change prices, modify revenue or the display options of your Plans.
Updating the Subscribers with a new product
When you add a product to a plan, this new product will be available for new subscriptions. However, the additional products are not automatically added to existing subscriptions.
To add the new products to existing subscriptions, complete the following:
- Navigate to Catalog >Plans and select the plan to add the product to, then click Subscribers.
- On the Charge After page, select the new product(s) you want to be available in that subscription.
- Select the customer/subscription to which you want to add the product and click Apply. Note that you can use the check box in the column header to select all customers.
Note: You can use the Quick Search to quickly find Subscriptions by a single Stax Bill field. Or, click Advanced Search to use advanced filters.
- In Advanced Search, use the filters at the top of the screen to narrow the list of Subscriptions down to those you would like to update. Some common examples of filters:
- Only update Active Customers with an Active Subscription (Customer Status = Active and Subscription Status = Active)
- Only update Subscriptions that do not already have this Product (Subscription Filter by "Does not have Product [x]")
- Only add these Products to the Customers who are owned by a specific Sales Manager (Customer Filter by Sales Tracking Code value)
- On the Product Confirmation page, select if you want to charge immediately to the customers or have it charged on the next billing cycle invoice.
Charge with Update:
- No - Do not create an invoice but bill on the next invoice. This is the default setting.
- Yes - Issue an invoice for the product immediately.
Updating the Price of an Existing Subscription
The same process applies to updating the pricing of a subscription. You must first update the price of the plan. When selecting a subscriber to the new price, the price update will take effect during the next billing period. Note that a customer with an override will maintain the override price.
- Navigate to Catalog >Plans and select the plan with the updated price, then click Subscribers.
- On the Charge After page, select the new product(s) you want to be available in that subscription.
- Select the customer/subscription to which you want to add the product and click Apply. Note that you can use the check box in the column header to select all customers.
Updating Revenue Recognition
When updating a plan product revenue recognition, updating existing subscribers is similar to the above procedures. However, there will be no change to the customer invoice; the change is only an accounting one.
